MAIN PURPOSE OF JOB

Managing the day to day administrative and housekeeping tasks in t he office

 

DUTIES AND RESPONSIBILITIES
  • Assume receptionist duties, greet customers and suppliers and refer them to appropriate staff members, answer phone, route/block calls, and take messages.
  • Assist staff with administrative duties as requested including diary management and setting up meetings.
  • Distribute incoming post. Take outgoing post to post office. Arrange and document courier shipments.
  • Maintain office, kitchen and meeting rooms areas keeping them clean and free from clutter
  • Coordinate travel and hotel for staff, as requested
  • Order office and kitchen supplies and monitor inventory.
  • Update and maintain contact and mailing lists in MS Excel or other database
  • Data Entry activities including SAGE invoices  and job P&L
  • Maintain vehicle maintenance log book and tax disc/MOT scheduler
  • Coordinate building maintenance problem resolution and oversee housekeeping
  • Maintain company asset tracker database

You may be asked to carry out additional tasks within your capability, in order to meet the needs of the business.

  • Ability to work with Microsoft Office applications
  • Punctual
  • Attention to detail
  • Ability to maintain appropriate relationships with other staff members
  • Good telephone manner
  • Excellent written and spoken English
  • A second  language (particularly French) would be a distinct advantage
  • Good organisation skills 
 SALARY
  •  £8,000 - £15000 per annum depending on experience
